Providence is calling a Scheduler Imaging (Support Services Radiology, Day Shift, 0.8 FTE) to St. Patrick Hospital in Missoula, Montana. In this position you will:
Responsible for opening up and blocking additional appointment slots if certain modalities are running behind, or if any special circumstances in progress will affect customer service and our modalities, upon approval.
Help patients in any way capable to make their visit pleasant and productive.
Make suggestions that might help make the department (and therefore St. Patrick Hospital) provide excellent service.
Make suggestions on what might be needed to perform or improve upon this job and this department.
Present in-services or other educational offerings as assigned.
Train new employees if and when asked to by supervisor.
Call for medical necessity/H&P documents as needed.
Check incoming faxes/printer output regularly and transcribes and scans orders into electronic medical record as needed.
Clean/tidies workplace and logs off computers at end of shift.
Communicate schedule changes to appropriate departments and personnel.
Coordinate all modality schedules as well as Radiologist, Radiology Nursing, Vendor Rep and Anesthesia schedules in order to ensure a smooth daily operation.
Demonstrate efficiency when handling telephone requests and messages.
Effectively and efficiently schedules procedures and examinations.
Keep up-to-date with changes in scheduling by maintaining a scheduling protocol binder or equivalent.
Maintain department schedules by scheduling, canceling, reserving or moving patient appointments.
Order supplies if and when asked to.
Provide patients, referring providers/physicians and office staff with proper procedure preparation.
Schedule requests for patient examinations and procedures from physician offices, hospital staff or out of town physicians.
Serve as the first point of contact and customer service liaison to patients and physician offices for the Imaging department.
Schedule all exams for Diagnostic Imaging/Fluoroscopy, Ultrasound, Mammography, Nuclear Medicine, PET/CT, Nuclear Cardiology, Special Procedures/Interventional Radiology, MRI and CT departments.
Receive recorded voice message each morning and responds appropriately to provide scheduling or rescheduling services to those who are unable to call during "regular scheduling hours".
Page physicians, staff, or modalities to relay messages or phone calls, when appropriate.
Answer extremely busy multi-line phones to ensure proper scheduling of all Radiology exams, answering of various questions or routing calls as necessary.
Fill out daily Radiologist assignment sheets and distributes each morning as a back up for when PRA is unavailable.
Coordinate cases and aligns schedules for Radiologists, vendor reps, anesthesiology and additional resources on a case by case basis.
Responsible for coordinating MRI cases for patients with Conditional and non-conditional Cardiac Implanted Electronic Devices (CIEDs), which includes obtaining pertinent surgery and implant history and obtaining signed consents from multiple involved parties.
Required qualifications for this position include:
2 years administrative, admitting, registrar or similar office work
1 year phone experience such as reception, office admin, and/or operator.
Strong verbal communication and listening skills
Demonstrated customer service skills
Demonstrated ability to maintain confidential information
Excellent organizational skills
Highly thorough and dependable
Possesses flexibility to work in a fast paced, dynamic environment
Preferred qualifications for this position include:
H.S. Diploma or GED
Course work in business or office practices
1 year Scheduling
Demonstrated time management and priority setting skills
